How Business Central licensing works
Microsoft licenses Dynamics 365 Business Central online as a subscription for each named user. The type of licence decides what each person can do.
Most businesses combine a few full users with lighter licences for people who only need to look things up, approve or make small updates. Getting that mix right is the easiest way to keep licence costs down.
- Full usersPeople who run finance and operations day to day, on Essentials or Premium.
- Team MembersPeople who mainly read data, approve workflows or update selected records.
- DevicesA shared device, such as a warehouse scanner or shop-floor terminal, used by several people.
- Getting your licencesWe provide your Business Central licences and the implementation, so you deal with one team for both.
Business Central licence types and UK prices
Microsoft's current UK list prices for Business Central online. Prices are per user per month, paid yearly, and exclude VAT.
Essentials
For people who run finance, sales, purchasing, inventory, warehousing and projects.
Financial management, sales and purchasing, inventory and supply chain, warehouse management, project management and HR, across multiple companies. Copilot is included.
Premium
For businesses that manufacture or run service operations.
Everything in Essentials, plus manufacturing (production orders, production BOMs, machine centres and capacity planning) and service order management.
Team Members
For people who mainly view data, approve or make light updates.
Read access across Business Central, approving workflows, and creating or updating selected information.
Device
For one shared device used by several people.
Access to Business Central from a single shared device, such as a warehouse scanner or point-of-sale terminal.

Essentials or Premium?
Most businesses only need Essentials. Premium is worth paying for when you manufacture or run service orders.
Choose Essentials if
- You run finance, sales, purchasing, inventory and warehousing
- You manage projects, resources and time sheets
- You assemble kits or bundles but don't run production orders
- You bill recurring contracts with subscription billing
Choose Premium if
- You run production orders, routings, work centres and machine centres
- You need production BOMs with version management
- You plan capacity and finite loading on the shop floor
- You manage service orders, service items and service contracts

Team Members, external accountants and Microsoft 365 users
Not everyone who touches Business Central needs a full licence.
Team Members
For people who look things up, approve purchases or make light updates to selected records. At a fraction of the cost of a full user, it's worth checking who really needs full access.
External accountants
Essentials and Premium let you add up to three External Accountant licences per tenant for your outside accountants, with the same access as a full user apart from user administration.
Microsoft 365 users
People with an eligible Microsoft 365 licence can view Business Central data inside Microsoft Teams at no extra cost, once your organisation has Business Central.

- EnvironmentsYour subscription includes one production and three sandbox environments. Extra production environments can be added, and each comes with more sandboxes and storage.
- Database storageEvery tenant starts with 80 GB of shared database storage, and full user and device licences add more. Extra capacity can be bought if you need it.
- Copilot and agentsCopilot in Business Central is included. Agents use Copilot Credits, which are sold separately.
- AppSource appsApps from Microsoft partners are licensed by each publisher. We include them in your licence plan so the full cost is visible.
